Wedding Planners: The Intake Brain-Dump, Turned Into a Plan in One Upload

wedding planners intake demo AI wedding planning

Every planner knows the intake slog: a couple sends a long, out-of-order email — five events, a nut allergy, a wheelchair, divorced parents, two faiths — and you spend an evening retyping it into events, guests, menus and tasks.

I wrote a realistic one, saved it as a file, and dropped it straight into aiDo — no copy-paste, no cleanup. It parsed the email itself and took 59 actions off it, every one a real record you can check below.

And it isn't picky about format: aiDo reads PDFs, Word and Excel files, CSVs, plain text, and even photos and screenshots — so a vendor's PDF quote or a snap of a handwritten note works just the same. Tap any card to light up the line it came from.

Priya  →  the planner  ·  an unedited brain-dump

I'm Priya, my fiancé is Dan. I'm Gujarati/Hindu; Dan's from a big Irish Catholic family. The whole thing is a FUSION wedding — full Hindu ceremony AND a Catholic blessing; Father Brennan will do a blessing + readingwe were thinking the reception but we're not sure yet.

Dates: Friday Sept 4 through Sunday Sept 6, 2026. Venue is Fox Ridge Estate & Resort in Barrington. Room block: $189/night, code PRIYADAN, cutoff August 4 — I need to nag everyone.

The events — there are five:

Fri night Sangeet & Mehndi, around 7. Full bar.
Sat morning Haldi — family-only ~40, 9ish. No alcohol.
Sat late morning the Hindu ceremony at the mandap. Baraat at 11, ceremony ~11:30. No alcohol, veg lunch after.
Sat EVENING the reception, 6:30, black tie.
Sunday a farewell brunch, ~10:30, mimosas.

Guest count — a moving target, about 200? My dad keeps changing it.

Vibe: emerald green and gold, diyas, marigolds. We STILL haven't picked a photographer — torn between Lumiere ($8,500) and Anand ($6,800).

DIETARY — important:

Dan's cousin Kevin has a SEVERE nut allergy. EpiPen. Nut-free EVERYWHERE, incl. cake and favors.
The Shah family are Jain — no onion, garlic, or root vegetables.
Half my side is vegetarian — real veg at every event. And NO BEEF anywhere.

Accessibility: my Nani (Kamla Ben) is in a wheelchair. Accessible ground-floor room, get her from the hotel to the lakeside ceremony, reserved spot up front.

The awkward one: my parents are divorced & both remarried. Mom Anjali (+ Sunil), Dad Rajesh (+ Kavita). Keep them apart, separate head tables — BUT I want them BOTH to walk me down.

Budget: around $185k. My family covers the venue & Indian events; Dan's family takes the reception, the bar, and a Thursday welcome dinner they want to host; we cover photo/video.

Haven't even gotten into a livestream so Nani's siblings in India can watch, or that we need hair & makeup, or the baraat horse. Help, I'm drowning. 😅 where do we even start? xx Priya

She wrote “we're not sure yet.” Instead of silently picking, it made a decision — Reception vs. Ceremony — for the couple. (The baraat horse got the same treatment.)

aiDo audits its own work
After the first pass it re-read the email against what it had built and closed the gaps on its own — no prompting. Here's what the second sweep caught.

The 6th event it first missed
The Thursday welcome dinner was buried in the budget line the first pass skipped. The audit caught it and created the event.

Both photographers, on the plan — prices and all
Added a “Who will photograph the wedding?” decision with two candidates: Lumiere Studios ($8,500) and Anand Photography ($6,800) — left undecided for the couple, exactly as they wrote it.

Still open, honestly: the emerald-&-gold palette isn't captured — aiDo's organizer tracks facts, decisions and logistics; the look-and-feel lives in a separate vision mode.
